SPEC / SA / AGENTIC SYSTEM

Agentic system for companies: an agent drafts offers and follow-ups, you talk to clients

The agent knows what was agreed with each client. It prepares you for calls, and every draft waits for your approval.

The first meeting takes about an hour.

What it is made of

01

A shared company knowledge base in files

Work in progress, agreements with clients and knowledge about the company in one place. The whole team and the agents use it.

02

Agents

Additional workers assigned to specific processes. You assign them work, and you approve the result.

03

Agent skills

Step-by-step descriptions of the processes an agent carries out.

04

Rules

Your corrections written down so the agent gets it right next time. Thanks to them, the system adapts to the company and to individual people.

05

Task registry

Tasks with owners and due dates.

06

Approval and quality measurement

A human approves every step that cannot be undone. The system measures how many of the agent's proposals pass without correction.

You talk to the system in plain language, by voice too. Several people can work in one system.

How an agentic system works, layer by layer

SPEC / 02

What it does day to day

This is how it works for us:

  • Prepares calls with clients and new contacts: it looks up the company and the person.
  • Drafts emails, offers and follow-ups for approval. A person sends them.
  • Keeps everything agreed with a client in one place the whole team can reach.
  • Turns meeting notes into decisions and tasks.
  • Runs tasks: who, what, by when. Gives a daily review of what is on for today.
  • Helps onboard a new hire on the company knowledge base.
Three ways of working
01

Together with a person

Solves tasks together with the person who delegates them.

02

On its own

Runs repeatable processes by itself, and a human approves the result.

03

Builds tools

Makes the tools the team needs in its work.

SPEC / 03

How it differs

A chatbot

A chatbot answers and forgets. The system runs a process and records the result.

Make- or Zapier-style automation

Such automation runs a rigid flow in place of a person. The system prepares the work and waits for approval, so nothing reaches a client without a human.

Another subscription with a panel

The system runs on Claude (Anthropic), on the company's own subscription and files, with no new panel to log into. We add the processes and the configuration.

SPEC / 04

Ready processes

The first ready set of processes covers sales: call preparation, offers, follow-ups and client management. Other areas, such as client service or creative work, can be built on the same base. We agree at the meeting where to start in your company.

SPEC / 05

Where the system runs and where we are deploying it

We built it for ourselves first: we run our own company on this system. Client deployments are just starting, so for each one we say plainly what stage it is at.

Our company: two people and agents

Agents prepare us for calls, draft offers and follow-ups, run the daily task review and draft posts and blog articles. Nothing goes out without the approval of one of us.

A small real-estate agency: deployment in progress

Our first client deployment, on an earlier version of the system. Some processes already run and the work continues. We will describe it once it is finished.

A family clothing company: deployment planned

A company that already uses our product, Qamera AI. The agentic system will be its next step.

Paweł Lipowczan has worked in IT for over 17 years and has delivered over 100 automation and AI projects for more than 50 clients. Przemysław Trybała, cofounder, creator of agentic systems and innovator, is responsible for technology, strategy, sales and partnerships. He finds uses for new technologies in business.

We also have our own AI product that is live: Qamera AI

How a deployment runs

You can work in the system, meaning use it, or on the system, meaning develop it. Whoever develops it needs dedicated time for that. That part can also be handed to us.

How does deploying AI agents in a company work?

We start with a meeting with your team that takes about an hour: we go through the company's processes and choose where to start. Then we configure the system in the company, write the documentation and train the team. Further work is billed hourly for specific tasks or as standing monthly care.

Where should a company start with AI agents?

With one process that takes the team a lot of time today. The first ready set of processes covers sales: call preparation, offers and follow-ups. Other areas can be built on the same base.

Will the agent send anything to a client without our approval?

No. The agent drafts emails, offers and follow-ups for approval, and a person sends them. A human approves every step that cannot be undone.

Do we need a new tool or panel?

No. The system runs on Claude (Anthropic), on the company's own subscription and files, with no new panel to log into. You talk to it in plain language, by voice too.

Who in the company has to look after the system?

Everyone who works in the system uses it. Whoever develops it needs dedicated time for that. That part can also be handed to us.
