Ask most companies how much an AI agent implementation costs and they say "it depends" and leave it there. It really does depend, but it's possible to say on what. In this post we break the implementation price down into its components, give our entry price, and show how to work out whether an AI agent for proposals and follow-ups makes sense in your company.
The short answer
With us, an agentic system implementation starts from PLN 9,000 net, depending on scope. That price covers setting up the system in your company, documentation and team training. On top of that come three things worth knowing before we talk:
- a Claude Team plan subscription for each person who works in the system, paid by the company directly to Anthropic (current Claude pricing),
- further processes and integrations with the company's tools, priced separately once we understand the needs,
- ongoing work together, if you need it: hourly billing for specific work or a fixed monthly support plan.
The full description of the offer is on the agentic system page. We describe the implementation itself step by step in the post on implementing Claude in your company.
What makes up the cost of an AI agent implementation
| Component | Who pays whom | When | What it depends on |
|---|---|---|---|
| Implementation | the company pays us, once | at the start | number of processes in the first scope, state of the company's knowledge, number of people to train |
| Claude Team subscription | the company pays Anthropic, monthly | for as long as the system runs | number of people working in the system |
| Further processes and integrations | the company pays us, per process or integration | once the first process works | complexity of the process, number and type of tools to connect |
| Ongoing work together | the company pays us, hourly or by subscription | after the implementation, if needed | how much development and support you want to outsource |
| Time of the person who develops the system | internal cost to the company | all the time | whether you develop the system yourself or outsource it to us |
Implementation
This is the only component you pay once. It covers setting up the system in your company: the knowledge base, agent skills, rules, and the points where a person approves the output. Plus documentation and team training. The price goes up when the first scope includes more processes, or when the company's knowledge first has to be pulled together from many places. We don't give an upper limit, because there isn't one: the company sets the scope and the price follows the scope. That's why we only quote after a meeting, once we know what the company really needs.
Claude Team subscription
The agents work on Claude (Anthropic) and on the company's files, with no separate dashboard you would have to pay for. So the only subscription on the company's side is the Team plan for the people who work in the system. You pay it to Anthropic, not to us, and current prices are on the Claude pricing page.
The subscription comes with usage limits. The system we build is designed not to waste them: anything that can be calculated or checked by a script is done by a script, and the agent loads only the knowledge it needs for the task. Before work starts, we tell you what order of subscription and model usage costs to expect.
Further processes and integrations
The first process is usually meeting preparation, proposals or follow-ups. We price each one after that separately, because they differ a lot: adding a daily review on an existing knowledge base is not the same as connecting the system to a CRM, inbox and calendar at once. We add integrations when a process really needs them, not just in case.
Ongoing work together
After the implementation, you can develop the system yourself or with our help, in one of two models:
- hourly billing for specific work, with a breakdown of the work attached to each invoice,
- ongoing support, meaning monthly support within an agreed scope.
We choose the model after the first meeting, once we know how much development the system will need.
Time on the company's side
This is the component most often left out of the calculation. The whole team uses the system, but someone has to develop it: add rules from corrections, add processes, keep an eye on quality. That takes dedicated time. If there is nobody in the company to do it, you can outsource this part to us, and then it moves into the "ongoing work together" component.
How much does an AI agent for proposals and follow-ups cost in a small B2B company
This is the most common first scope, so let's break it down separately. In a small service company with a few people in sales, the cost is made up of:
- the implementation, whose price starts from PLN 9,000 net, with the final price set after the meeting; the lowest-cost scope is a single process (proposals and follow-ups after meetings) on knowledge the company already has: its price list, proposal templates and service descriptions,
- Claude Team for the salespeople and the person who approves proposals,
- possibly an integration with the CRM or inbox, priced separately, if the agent is to pull notes and client history on its own.
In this scope, the agent prepares a draft proposal based on what was agreed in the meeting and on earlier proposals, and after the meeting a draft follow-up with the agreements and tasks. A person always does the sending. That way you don't pay for mistakes an automation would have sent to your client on your behalf.
How to work out whether an AI agent implementation pays off
We don't quote an "average return on investment", because it looks different in every company, and a number without your data would be a guess. You can work it out yourself in three steps:
- Count the time. How many hours a week you and your salespeople spend on prep work: notes before meetings, proposals, follow-ups, looking up what was promised to whom.
- Put a value on it. Multiply those hours by the hourly cost of those people or, better, ask how many extra client conversations would fit into the time you get back.
- Compare it with the annual cost. Implementation plus subscriptions plus any support, on an annual basis.
After the implementation, it's worth measuring one number: what share of the agent's proposals a person approves without corrections. As it goes up, so does the time the system actually gives back to the team. This is a way of measuring, not a promise of a specific result.
Why you don't pay for a separate platform
Many offers on the market are a platform with its own dashboard, subscription and per-user licence. We build the system on what the company may already have anyway: Claude and the company's files. As a result:
- you don't pay for a second subscription next to Claude,
- the company's knowledge stays in the company's files, not in an external tool,
- the system grows on your side: the implementation is a starting point, not a permanent dependency on us.
We explain what such a system is and what it isn't in a separate post.
Frequently asked questions
How much does an AI agent implementation cost in a small company?
With us, from PLN 9,000 net, depending on scope. On top of that, a Claude Team subscription for each person working in the system, and further processes and integrations are priced separately.
Does the price include team training?
Yes. The implementation includes setting up the system, documentation and team training.
Do I have to pay a fixed subscription for the system?
No. The fixed cost is the Claude Team subscription, paid to Anthropic. Monthly support is an option, not a requirement: you can develop the system yourself or pay us by the hour for specific work.
What does the price of further processes depend on?
On how complex the process is and what it has to be connected to. A process on an existing knowledge base costs less than one that requires connecting several of the company's tools.
How soon will I know the price for my company?
After the first meeting. It takes about an hour: we go through the company's processes, choose where to start, and quote the scope on that basis.
Summary
The cost of an AI agent implementation is not one number but five components: the implementation, the Claude Team subscription, further processes and integrations, ongoing work together, and time on the company's side. With us, the implementation starts from PLN 9,000 net, and the best way to tell whether it pays off is to count the time your team spends on prep work today.
